6 ways to respond to tenders and bids

The goal is to ensure a seamless process from start to finish, providing a holistic view of the entire bid.

To complete a comprehensive bid always coordinate your application with relevant departments and stakeholders, possibly including outsourced project management or marketing teams (where relevant).

  1. Supplier Questionnaire: This is a form that collects information about your organisation. It’s standardised and makes it easy for the procurer to find information about you.
  2. Tender Response: Most organisations find this challenging. The response should be about your business and how the process works. It’s crucial to understand the questions being asked to provide a meaningful response. Bid writing can be challenging, but remember that it’s only a part of the overall effort needed to respond to a bid.
  3. Bid Management: This includes the tender response (80-85%) and tender documentation (15-20%). It’s important to double-check that all forms are completed correctly and that you manage the procurement framework. Some forms require wet signature and require a print, sign, scan – that means that digital signatures are not valid.
  4. Scoring: Each tender has a minimum benchmark or score that must be reached to progress to the next stage. Missing the mark on a question could result in exclusion from the process as a non-compliant supplier.
  5. Attachments: If possible, attach information such as case studies or reference information to bolster your response. Including references and testimonials can be beneficial, but they must align with the nature of the question. They also have to be referenced properly – Appendix A as an example.
  6. Communication with the Buyer: Questions can be asked on a regular basis, and the procurer has an opportunity to respond. Every time the procurer responds to a supplier, they send the response to all suppliers. This process can be intense, and it’s important to stay on top of it to avoid missing vital information.

The goal is to demonstrate your understanding and capability to meet the requirements of the tender in your responses. It’s not just about providing information, but also about showcasing how your business can add value.

Remember to showcase your company in every response by including references to other similarly completed projects.
